By using our Services, making a reservation, staying at one of our hotel properties, or providing your personal information to us, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our policies and practices, please do not use our Services.

We collect personal information that you provide to us directly, as well as information that is automatically collected when you interact with our Services. The categories of personal information we collect include:

B. From Our Booking and Property Management Systems

When you book a reservation, our reservation and property management systems automatically collect and store information about your booking, your stay, and your communication preferences.

C. From Third-Party Booking Platforms

If you book a stay through a third-party online travel agency or booking platform (such as Airbnb, Vrbo, Booking.com, Expedia, or similar services), we receive your reservation and contact information from that platform, subject to that platform’s privacy policy.

D. Automatically Through Cookies and Analytics

When you visit our Website, we and our service providers automatically collect certain information about your device and browsing activity through cookies, web beacons, analytics tools, and other tracking technologies. See Section 11 for more information.

5. SMS and Mobile Information

This section describes how we handle mobile phone numbers and information provided in connection with our text messaging (SMS) communications. We take the privacy of your mobile information seriously and follow the requirements of mobile carriers and applicable laws.

A. Our Commitment Regarding Mobile Information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support of services provided to us (e.g., SMS messaging platforms like Twilio) is permitted. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

B. SMS Consent

When you provide your mobile phone number and opt in to receive text messages from us, you consent to receive SMS messages related to your reservation, your stay, and (where you have so consented) promotional offers from Maine Retreats. Message and data rates may apply. Message frequency varies based on your reservation activity and preferences.

C. SMS Opt-Out

You may opt out of receiving SMS messages at any time by replying STOP to any text message you receive from us. You will receive a confirmation message acknowledging your opt-out. After opting out, you will no longer receive SMS messages from us, except as may be required to confirm your opt-out. You may also reply HELP to any message for assistance, or contact us using the information in Section 15.

6. How We Share Your Information

We do not sell your personal information. We share personal information only as described in this Privacy Policy, and we do not share your information with third parties for their own marketing purposes. Specifically, we may share personal information with the following categories of recipients:

A. Service Providers and Subcontractors

We share information with third-party service providers who perform services on our behalf and under our direction, including:

  • Payment processors that handle credit card and other payment transactions
  • SMS messaging platforms (such as Twilio) that deliver text messages on our behalf

The length of time we retain your information depends on the type of information and the purpose for which we collected it.

Generally:

  • Reservation and stay records are retained for at least seven (7) years following your last stay to comply with tax, accounting, and other recordkeeping requirements.
  • Marketing preferences and opt-out records are retained for as long as you remain on (or off) our marketing lists, and for a reasonable period thereafter to honor your preferences.
  • Payment information processed by our third-party payment processors is retained in accordance with applicable card network rules and PCI DSS requirements.
  • Website analytics and cookie data are retained for the periods described by the applicable analytics provider.

When we no longer need your personal information, we will securely delete, destroy, or anonymize it, except where retention is required by law.

  • Drafting, personalizing, translating, and reviewing guest communications (including emails, text messages, and chat responses)
  • Responding to guest inquiries and providing automated guest service support
  • Processing, summarizing, and analyzing reservation, booking, and stay information
  • Generating booking confirmations, reminders, and pre-arrival and post-stay communications
  • Demand forecasting, pricing analysis, occupancy modeling, and other business analytics
  • Detecting, preventing, and investigating fraud, security incidents, and other unlawful activity
  • Quality assurance, training, and operational improvement
  • Improving the accuracy, efficiency, and quality of our internal workflows, documentation, and decision-making

B. AI Vendors as Service Providers

Where we use third-party AI vendors (for example, AI platforms that power chat, email drafting, or analytics), those vendors act as our service providers and subcontractors in support of the Services we provide to you. They are contractually obligated to use your information only as necessary to provide services to us, to maintain appropriate confidentiality and security, and not to use your information for their own marketing or promotional purposes. We select AI vendors that, to the best of our knowledge, do not use customer data submitted through their services to train publicly available foundation models without our express direction.

C. AI and SMS / Mobile Information

Notwithstanding any other provision of this Section 12, our use of AI is at all times subject to the limitations described in Section 5 (SMS and Mobile Information). Specifically, text messaging originator opt-in data and consent will not be shared with any third party, and mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. AI vendors used in support of SMS messaging (such as Twilio and AI tools that assist us in drafting, sending, or analyzing SMS communications) are permitted only as subcontractors in support of services provided to us, and only to the extent consistent with mobile carrier requirements.

D. No Solely Automated Decisions with Legal or Similarly Significant Effects

We do not use AI or automated processing to make decisions that produce legal or similarly significant effects on you without human involvement. Final decisions regarding reservations, guest accommodations, refunds, disputes, and similar matters involve human review.

E. Your Choices Regarding AI

Your rights described in Section 9 (Your Rights and Choices) apply to personal information processed using AI tools to the same extent they apply to personal information processed by other means. If you have questions about our use of AI, you may contact us using the information in Section 15.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or for other reasons. When we make changes, we will update the “Last Updated” date at the top of this Privacy Policy. If we make material changes, we will provide notice (for example, by email or by posting a prominent notice on our Website) before the changes take effect.
